Sign up

What qualifications do I need to sign up for MindSpaces?
MindSpaces is intended solely for use by mental health professionals. Applicants must be regulated health professionals under the provincial college of the practitioner's profession (e.g. psychiatry, psychology, social work, registered psychotherapy), or practicing in the process of qualifying for such registration. Applicants who do not meet these criteria, or who are practicing under certifications/registrations from entities other than a college regulated by the province of Ontario, cannot be considered at this time.
How do I sign up?
Just complete the form on this page. Once you have submitted it, you will receive an email confirming that your qualifications have been verified. You will also receive an email from our booking platform allowing you to complete your setup as a user to book online.
Are there any fees or commitments involved with signing up?
No. There are no fees and there is no commitment when you sign up. You are only billed if and when you use the space. 

Billing

How does billing work? Do I need to pay at the time I book?
You do not pay at the time you make your bookings. At the end of each month, MindSpaces will send you an invoice online with the total bill for the time you used. For your convenience, you can pay this invoice easily with Interac e-Transfer. Specific directions are included with your invoice. 
Are taxes charged on bookings?
Yes, MindSpaces is required to charge standard HST.
Any there other dues or subscription costs?
No. You will never pay any other dues, fees, or subscription costs with MindSpaces. You only pay for the time you use.
​Are there any discounts for booking a large number of hours?
​Our pricing calculator shows the discounts available for half-day, daily, or extended day use based on the number of days booked. Hours have a set amount, however if you plan on using a large number of hours, you can get in touch with us to discuss alternate pricing arrangements.

Bookings

When can I start making bookings?
As soon as you've received the email from our online booking platform, you may begin booking immediately.
How do I use the online booking platform?
The booking platform is intuitive and very easy to use. You can view the booking platform on this page, but you will need to complete the sign up form to be able to book. Once you sign up and log in, you will be able to see all the available times for each of the offices, and you can quickly and easily book the time(s) you need. For a quick guide on making a standard booking, check out this link
​Can I make repeat bookings?
Yes, our online platform allows you to easily make repeat bookings. You can customize the recurrences to fit your schedule.
Is any commitment required for repeat bookings?
No, you may cancel your repeat bookings at any time.
​What is the Cancellation policy for room bookings?
​At this time, there is no cancellation fee for cancelled bookings up until the time of the booking. This policy may change in the future, however no change will be made without alerting users. 
Can I get the same office every time I book?
The only way to be certain of getting the same office is to create repeated bookings. 
Can I split bookings with another clinician?
MindSpaces policy allows only one clinician to use an office during a given booking. If two clinicians wish to share a booking for a day, they should create two individual half-day bookings. This policy does not restrict clinicians who wish to conduct joint sessions, however the booking would be made by one of the clinicians. The policy also does not restrict practice managers from creating bookings for associates of a practice, as long as each booking is used by a single associate. 
Is the office accessible before or after my booking time?
Your office is available for you during the time it is booked. Clinicians must ensure that they have completely vacated their room at the time the booking expires.  If you wish to make sure that you have time before or after your session, we recommend extending your booking to accommodate this extra time. Bookings can be made in 15 minute increments, so you can tailor your booking time to your specific needs. 
Is there evenings/weekends access?
Yes, the offices are available on Saturdays and Sundays. For hours of availability, please see the online booking calendar. The building is accessible any time that you see availability on the online interface. 

Access & entry

How do I enter the building?
The building is unlocked at any time that is shown as available on the booking platform, including weekends and evenings. Users who choose full time arrangements can be provided with a fob that allows entrance to the building 24/7.
How Do I enter the office?
The main door to the office has a smart lock and a keypad. After you make your first booking, you will receive an email with an access code that is unique to you, and which you can use to unlock the office whenever you have your booking.
Can I share my access code with my clients/patients?
It is preferable for clinicians to keep their access code confidential. If a situation arises that requires a client or patient to be given the access code, we request that you inform us as soon as possible afterward so we can reset your access code.

About the space

Is there parking available?
There is street parking available, and there is currently a standing discount for two hours free per user per day on street parking within 200 meters of Eglinton Avenue. Given the high demand, street parking nearby may not be available at all time, however there are a number of paid parking lots nearby. The closest lot to MindSpaces is directly behind our office building. The following are links which provide direct navigation to this lot behind our office building: Google Maps | Waze  These links can be shared with clients and allow them to use their preferred navigation app on their mobile devices to navigate directly to this lot. There is no rear entrance to the building, so once you park in this lot, you should walk between the buildings to Eglinton to enter the building's front entrance.
Are there any offices available for group sessions?
Currently our offices are set up for use with 1-2 clients. More clients can be fit in using the desk chairs in the offices or by temporarily borrowing waiting room chairs, however the fit may not be optimal. We do not have an office specifically intended for group use at this time.
Where are the washrooms?
There are washrooms in the hallway just across from the main office door.
Is there a receptionist?
No. The space is designed for self-contained clinicians who manage their own scheduling and client communication.

Using the space

Where can I find supplies?
Each office has basic supplies in the drawers of the desks, including pens, clipboards, charging cords (for all phone types), scissors, rulers, and paper. More supplies are available in the closet and cupboards in the kitchenette area.
How do I use the wifi?
Before your first booking, you will receive an email with office information that will include the wifi code.
Is there a printer I can use? How can I connect to it?
There is a printer in every one of our offices. To maintain the streamlined appearance and therapeutic feel of the offices, we use specialized printers that fit into our desk drawers so they remain unobtrusive. You can find the printer in the large bottom drawer of the desk in your office. Once you connect to wifi, you can identify the printer using the network ID printed on the label of the printer.
Can I use the address of the office as my practice address? 
You are free to use MindSpaces's address on your website, marketing, online profile, or for any other public use. If you plan to receive physical mail at our address, please inform us ahead of time so we can make arrangements for the safe delivery of your mail to you.
